Event Project Management – Case Study
Delivery Hero Kids Day – From Concept to On-Site Delivery
In July 2025, at Delivery Hero’s Berlin headquarters home to 3,000 employees, I co-led project management for a family-friendly event produced by LA BOOM to welcome staff and their children.
The goal was to “pull back the curtain” on the workplace, spark curiosity with hands-on activities, and include a charity component. Over seven hours, we hosted around 600 guests—about half under seven—creating a playful atmosphere that brought families together.
Scale back the previous year’s event, yet live up to kids and parent’s expectations while keeping it fully indoors, and managing rooms with capacities of under 180 guests.
Approach:
- Mapped out an event flow to keep room occupancy in check while accommodating all 600 attendees.
- Developed a wayfinding and signage plan to guide guests through four rooms and two floors.
- Coordinated with stakeholders — client, design team, decorators, activation leaders, and charity partner — to align on scope, safety, and budget.

Execution
- Maintained frequent, detailed communication with the client to guide decisions, align on goals, and clarify how to adapt the event to safety and budget limitations.
- Managed procurement, vendor contracts, and delivery schedules.
- Designed all décor and wayfinding graphics in Adobe Creative Suite.
- Oversaw print production and supervised on-site installation.
- Directed event-day operations to ensure smooth guest flow, prevent overcapacity, and create a safe, engaging experience for all attendees.
Results
The client was so pleased with my leadership and coordination that I was asked to take on the project lead role for future collaborations.
Guests gave overwhelmingly positive feedback, especially praising the backpack customization workshop, waffle station, and the fluffy heart-shaped mascot.
To my delight, the Delivery Hero design team highlighted the wayfinding graphics for being charming, kid-friendly, and perfectly aligned with their brand identity.
